Last updated: 19 October 2026 · Version 2026-10-19
These Terms are written in plain English. They explain the rules for using Coworking OS, including the free 30-day trial. Please read section 04 carefully: e-signatures in the free trial are for testing only and are not legally binding.
01Who we are and accepting these terms
- Coworking OS is operated by Hemanth Sai Kumar, trading as Coworking OS (“we”, “us”), Hyderabad, Telangana, India. You can reach us at info@coworkingos.in.
- These Terms and Conditions (“Terms”) apply when you create an account, start a free trial or otherwise use Coworking OS — the website, the web app, the Android and iPhone apps and Coworking OS Mail (together, the “Service”).
- When you tick the box at sign-up (or use the Service after we have told you about these Terms), you agree to them. If you do not agree, please do not use the Service.
- If you sign up for a business, you confirm that you have the authority to accept these Terms on its behalf. In that case “you” means the business and you personally.
- You must be at least 18 years old and able to enter into a binding contract under Indian law.
02Words we use
- Space or Customer: the coworking or shared-office business that has an account on Coworking OS.
- Staff: people the Space gives access to its account (owners, managers, front desk, accountants and so on).
- Members: the Space’s own tenants, members, clients, leads and visitors, whose details the Space keeps in Coworking OS.
- Customer Content: everything the Space puts into or sends from Coworking OS — member details, invoices, receipts, proposals, agreements, messages, emails, newsletters, documents and files.
- Free Trial: the 30-day trial of the Starter plan described in section 03.
- Subscription Agreement: our separate agreement for paid plans, at coworkingos.in/subscription-agreement/.
- Privacy Policy: our notice at coworkingos.in/privacy/.
03The free trial
- Anyone starting a Space on app.coworkingos.in/signup gets a free trial of 30 days on the Starter plan.
- No card or payment details are needed to start. We will not charge you at the end of the trial unless you choose a paid plan yourself.
- During the trial, the Starter features work the way they do on a paid subscription — rent, invoices, receipts, bookings, the member app, mail, proposals, newsletters and website chat — except e-signature, which works in test mode as explained in section 04.
- When the 30 days end, the account becomes read-only. You can still sign in, view and export your data, but you cannot add or change anything. Your data is kept (see section 11), and you can choose a plan at any time to carry on.
- We may limit, pause or end a trial early if we reasonably believe it is being misused (see section 08), if a person creates repeated trials to avoid paying, or if the law requires it. We may also change or withdraw the free trial offer for new sign-ups at any time.
- One free trial is meant for one genuine business. We may refuse or end additional trials.
04E-signature during the free trial (test only)
- During a Free Trial, e-signature is a test feature only. Every e-signature email is sent from Coworking OS’s own address, not from your own domain. Every document, signing page and certificate produced is marked “TEST — not legally binding”.
- Signatures collected during a Free Trial have no legal effect. Do not use the trial to sign real agreements, leave-and-licence papers, member contracts or any document you intend to rely on. If you do, you do so at your own risk and we are not responsible.
- Test documents may be seen by the people you send them to, so please send them only to people who know it is a test.
- E-signature becomes normal — sent from your own domain, without the TEST marking and with full legal effect as set out in the Information Technology Act, 2000 — only after you take a paid subscription and accept the Subscription Agreement. Documents signed in the trial are not converted into valid signatures afterwards; they must be sent again.
05Paid subscriptions
- To keep using the Service after the trial, you choose a paid plan and accept the Subscription Agreement, which sets out fees, payment, support, security, ending and liability for paid use.
- The Subscription Agreement and these Terms work together. If they conflict on anything about a paid plan, the Subscription Agreement prevails.
- These Terms continue to apply to the website, the Free Trial and anything the Subscription Agreement does not cover.
06Your account and security
- You decide who on your team gets access and what each person can do. You are responsible for everything done through your Space’s accounts, including by Staff.
- Keep passwords private, use a strong password, and turn on two-step sign-in (2FA) for all Staff. Do not share one login between several people.
- Remove access promptly when someone leaves your team.
- Tell us right away at info@coworkingos.in if you think an account has been accessed without permission. We will help you secure it.
- The information you give us at sign-up must be accurate and kept up to date.
07Your content and your responsibility
- Customer Content belongs to the Space. You give us permission to store, process, display and send it only as needed to run the Service for you.
- The Space is responsible for everything it sends to its Members and others through Coworking OS — invoices, receipts, proposals, agreements, messages, emails, newsletters and website chat replies — and for what those say. We provide the tools; we do not check or approve your content.
- You must have the right to contact the people you add and message. Where the law requires consent (for example for marketing or WhatsApp messages), you must have it and honour opt-outs.
- You must follow the laws that apply to you, including the Digital Personal Data Protection Act, 2023 (DPDP Act), the Goods and Services Tax laws (for example correct GST on invoices), the Information Technology Act, 2000 and rules under it, and your local rent, licence and consumer laws.
- You are responsible for the accuracy of your prices, taxes, invoices and agreement wording. Coworking OS is software, not a legal, tax or accounting adviser, and any templates are only starting points that you should check with your own professional.
08Acceptable use
- Do not use the Service for spam, unsolicited bulk messages, phishing, fraud or scams.
- Do not impersonate any person or business, or pretend to be someone you are not.
- Do not create, upload or send forged, altered or false documents, signatures, invoices or receipts.
- Do not upload or send anything unlawful, defamatory, harassing, hateful, obscene, or that infringes someone else’s rights.
- Do not misuse sending: no mailing lists you do not have the right to use, no deceptive sender names, and no sending to people who have asked you to stop.
- Do not try to break, probe, overload or reverse-engineer the Service, bypass limits, or access other customers’ data.
- We may apply sending limits (for example to emails, WhatsApp messages or e-signature requests), and may hold, block or remove messages and content, and suspend or end accounts that misuse the Service or put it or others at risk. Where we reasonably can, we will tell you why.
09Payments between a Space and its Members
- When Members pay a Space (rent, deposits, bookings and so on), the payment goes through the Space’s own payment gateway or bank account. Coworking OS is not a party to those payments, does not collect or hold that money, and is not responsible for refunds, disputes or chargebacks between a Space and its Members.
- The Space is responsible for its own agreements with its payment gateway and its bank, and for correct receipts and tax treatment.
10Personal data and privacy
- Our Privacy Policy explains what personal data we handle and how.
- For the personal data of Members and other people that a Space puts into Coworking OS, the Space is the “data fiduciary” under the DPDP Act, 2023 and decides why and how it is used. Coworking OS acts as a processor on the Space’s behalf, handling that data only to provide the Service and on the Space’s instructions.
- The Space is responsible for giving its Members any notices required, getting any consent needed, and responding to their requests. We will help where we reasonably can.
- We keep each Space’s data separate from every other Space’s data. We never sell it or use it for advertising.
11Data export and deletion
- You can export your data at any time (spreadsheet/CSV and PDF files; Mail as a download), including after a trial has ended.
- If a Free Trial ends and you do not choose a plan, we keep your data for 60 days in read-only form so you can export it or come back. After that we may delete it, except records the law requires us to keep.
- You can ask us to delete your account and data at any time — see coworkingos.in/delete-account/. Deleted data is also removed from backups on their normal cycle (up to 14 days).
- Members who want their personal data corrected or deleted should first contact the Space they deal with, as it is the data fiduciary.
12Availability and support
- We work to keep the Service running and secure, but during the Free Trial we give no uptime guarantee and support is on a reasonable-efforts basis by email at info@coworkingos.in.
- We may carry out maintenance, which we try to do at quiet times. Service levels for paid plans are set out in the Subscription Agreement.
- We take regular backups, but you should keep your own exports of anything important.
13Third-party services
- Coworking OS works with services we do not control, such as WhatsApp (Meta), Google and Apple sign-in, payment gateways, email delivery providers and our cloud hosting provider.
- Using those services may mean accepting their own terms (for example WhatsApp’s business messaging terms), and their availability and charges are outside our control. We are not responsible for their acts or outages.
- You are responsible for your own accounts with them and for following their rules.
14Intellectual property
- We own the Service, including its software, design, logos and documentation. These Terms give you only a limited, non-exclusive, non-transferable right to use the Service while your account is active.
- You may not copy, resell, sub-license or build a competing product from the Service.
- You keep ownership of all Customer Content. Names and logos of your Space remain yours.
15Feedback
- If you suggest an idea or improvement, we may use it without payment or obligation to you. We will not publish your confidential data as part of it.
16Suspension and termination
- You can stop using the Service at any time and ask us to delete your account.
- We may suspend or end your access immediately if you break these Terms (especially sections 04 and 08), if we are legally required to, or if your use puts the Service or others at risk. We may end a free trial or free account at any time.
- For paid plans, ending is governed by the Subscription Agreement.
- Sections that by their nature should continue (for example intellectual property, disclaimers, liability, indemnity and governing law) continue after the account ends. Your right to export your data under section 11 continues.
17Disclaimers
- The Free Trial and the Service are provided “as is” and “as available”. We do not promise that it will be error-free, uninterrupted or fit for every purpose, and, to the extent the law allows, we exclude all implied warranties.
- We are not responsible for decisions you make or documents you send using the Service, or for the content of messages, invoices or agreements created by a Space.
18Limitation of liability
- To the extent the law allows, we are not liable for indirect or consequential loss, or loss of profits, revenue, goodwill or data.
- For the Free Trial and any free use, our total liability to you is limited to ₹1,000 in all.
- For paid plans, liability is governed by the Subscription Agreement (generally limited to the fees you paid in the 12 months before the claim).
- Nothing in these Terms limits liability that cannot be limited by law.
19Indemnity
- You agree to cover us for losses, claims and reasonable costs that arise from Customer Content, your breach of these Terms or the law, or a claim by a Member or other third party about something the Space sent or did through the Service. We will tell you promptly of any such claim and let you handle it where reasonable.
20Changes to these Terms
- We may update these Terms from time to time. For material changes we will give at least 30 days’ notice by email or in the app. Smaller corrections (like fixing typos) may take effect when posted.
- The version and date are shown at the top of this page. If you keep using the Service after a change takes effect, you accept the new Terms. If you do not agree, you can stop using the Service and export your data.
- Changes do not alter a period you have already paid for under the Subscription Agreement.
21Governing law and disputes
- These Terms are governed by the laws of India.
- We would like to resolve any problem first by talking. Please write to info@coworkingos.in and we will try to sort it out in good faith.
- If that does not work, the courts at Hyderabad, Telangana, India have exclusive jurisdiction.
22Grievances and contact
- For any question, complaint or grievance about the Service or these Terms, or about how your personal data is handled, write to us at info@coworkingos.in. This is also our contact point for grievances under the Information Technology Act, 2000 and the DPDP Act, 2023. We aim to acknowledge within 2 working days and resolve within 15 days. See also our Privacy Policy.
- General: these Terms, the Subscription Agreement (if you have a paid plan) and the Privacy Policy are the whole agreement between us. If a part is found unenforceable, the rest continues. Notices to you go to the email addresses on your account.
