What good billing looks like
On the same day every month, every member gets an invoice with a link to pay. Members pay by UPI in a few taps. The payment is recorded against the right invoice, a receipt goes out on WhatsApp and email, and anyone who has not paid gets a polite reminder on a fixed schedule. You open one screen and see who owes what.
The features that matter
- Automatic monthly invoices for rent, add-ons and booking charges, raised on a set day, with your GSTIN and your own invoice series, and a separate series and GSTIN for each building if you have several.
- Pay Now links on every invoice for UPI, cards and net banking through your own gateway account (Razorpay, Cashfree or Zoho Payments), so the money lands in your bank, not the software vendor's.
- A UPI QR on the invoice for members who prefer to pay from their own app, with a way for them to say "I've paid" and for you to confirm it.
- Reminders on WhatsApp from your business number before and after the due date, with email as the written record.
- Part payments and arrears carried forward correctly, and a statement for any member for any period.
- Deposits recorded separately from rent, with the refund handled at move-out.
- TDS recorded when a company member deducts it, with Form 16A tracked by quarter.
- Books your CA can use: a month lock and an export to Tally Prime or Zoho Books.
Why general invoicing tools fall short
An invoicing tool such as Zoho Invoice handles the invoice itself well. What it does not know is your space: which cabin a member sits in, when their agreement ends, how many free meeting room hours they have left, and what happens to the bill when they move cabins mid-month. Coworking billing software ties the invoice to the member, the cabin and the agreement, so the bill is right without anyone checking it by hand.
What to test in a trial
- Raise a month's invoices for your real members and compare the totals with last month's.
- Pay one invoice by UPI and watch it reconcile and the receipt go out.
- Record a part payment and check the arrears on next month's invoice.
- Record a payment with TDS deducted and check the receipt.
- Export the month for your accountant and ask them to open it.
