Coworking space software for Hyderabad operators

Coworking OS is built in Hyderabad and used every day at Spellbound Coworking in Malkajgiri. Here is what running a shared office in Telangana involves, a checklist that keeps the month tidy, and where software takes work off your plate.

Built here, used here every day

Coworking OS started as the internal tool of Spellbound Coworking, a shared office in Malkajgiri, Hyderabad. Every feature on this site was first needed at that front desk: rent that came in late, agreements that sat unsigned in someone's email, a conference room booked twice. The same team that runs the space builds the software, so when something is awkward on a busy Monday morning, it gets fixed.

That matters for a Hyderabad operator because the problems are the same ones you have. Your members pay by UPI, ask questions on WhatsApp, want an invoice their accountant will accept, and expect the meeting room to be free when they walk in. Whether your space is in Malkajgiri, Secunderabad, Madhapur or Gachibowli, the daily routine looks much the same.

What a Hyderabad operator typically juggles

Most shared offices in the city sell a mix of products, and each one bills differently:

  • Private cabins on a monthly licence fee, with a security deposit, a lock-in and a notice period.
  • Dedicated and hot desks, some monthly, some by the day or week.
  • Meeting and conference rooms booked by the hour, with free hours for cabin members.
  • Virtual office plans, usually paid yearly, where a business uses your address for its registrations and mail.

Put together, that is several billing cycles, several kinds of agreement and a steady stream of WhatsApp messages. In a spreadsheet it works up to a point. Past fifteen or twenty members, the routine starts to depend on one person remembering everything.

GST in Telangana: registration and place of supply

If your space is in Hyderabad, your GST registration is in Telangana, and your GSTIN starts with the state code 36. Renting a cabin, a desk or a meeting room is a service tied to immovable property, and for such services the place of supply is where the property is. So a cabin in your Hyderabad space is supplied in Telangana, even when the member is a company registered in Karnataka or Maharashtra.

In practice this means three things for your invoices:

  • Every invoice should show your legal name, your Telangana GSTIN, the SAC for the service and the place of supply.
  • Capture the member's GSTIN when they sign, so their invoice is right from the first month.
  • If you open a second centre in another state, it will usually need its own registration in that state. Our Bengaluru page and Delhi NCR page cover what that looks like.

General guidance, not tax advice. Tax rates, the split between central, state and integrated tax, and return formats should be confirmed with your chartered accountant. Our guide to GST on coworking rent goes into more detail.

Agreements and stamp duty

Many shared offices in India give members a leave-and-licence agreement rather than a lease. It sets out the cabin, the licence fee, the deposit, the lock-in and the notice period. Agreements of this kind usually attract stamp duty, and some may need registration depending on their term. The rules are set by each state and change from time to time, so check Telangana's current stamp duty rules, or ask your lawyer, before you finalise your template. Once the template is right, use it for every member so no one is on different terms by accident.

A monthly checklist for a Hyderabad space

  1. Before the 1st, check new joiners and leavers, and update cabin rents for any escalations due this month.
  2. Send every invoice on the same day, with a payment link and your GSTIN, SAC and place of supply.
  3. Send a friendly WhatsApp reminder two days before the due date, and another on the due date.
  4. Record every payment the day it arrives, whether UPI, gateway, cash or bank transfer, and send a receipt.
  5. Carry part payments and arrears forward, visible on the next invoice.
  6. Check notice periods ending in the next 60 days and start showing those cabins.
  7. Review meeting room use and free hours used by each member.
  8. Hand your CA one export of the month's invoices and receipts, and lock the month once returns are filed.

How Coworking OS fits

Coworking OS puts that checklist into one app, on one record of your members, cabins and money.

  • Rent by UPI. Every invoice carries a Pay Now link through Razorpay, Cashfree or Zoho Payments, and a UPI QR. Members who pay by UPI tap "I've paid" with the UTR, and the payment waits in your confirm queue.
  • WhatsApp reminders from your own number. Reminders and receipts go out from your WhatsApp Business number, and replies land in a WhatsApp inbox beside the member's record.
  • Invoices with your GSTIN. Each centre has its own GSTIN and invoice series. Books, receipts and a P&L per bank account sit behind every invoice, and the accountant kit exports to Tally Prime or Zoho Books.
  • E-signed agreements. Draft the leave-and-licence agreement from your template, let the member review it, and collect signatures online, with deposit and notice period tracked against the cabin.
  • Room and desk bookings. A public booking page for walk-ins, a Book button for members, free hours used first and paid hours after.
  • Centres for several buildings. If you run more than one building, each one gets its own lists, staff access, invoice series and booking page.

Web app live · Android in Google Play testing · iPhone awaiting Apple review. That goes for you, your staff and your members.

Can I see Coworking OS working in a real Hyderabad space?

Yes. Spellbound Coworking in Malkajgiri runs on it every day, and the demo uses the same screens. Book a demo and we will walk you through a month of rent, bookings and agreements.

Does it work if my members pay in cash or by bank transfer?

Yes. Online payments are matched automatically, and cash, UPI to your account and bank transfers are recorded in a tap, each with a receipt.

Will it split CGST and SGST on my invoices?

Invoices carry your GSTIN, the SAC and the place of supply. Confirm the tax treatment and how it should appear on the invoice with your CA, and set your invoice up to match.

How long does it take to move from Excel?

Import your members from Excel or CSV, with 24 hours to undo. A set-up checklist walks you through centres, GSTIN, payment gateway and WhatsApp. Most small spaces are sending invoices within a week.
