Coworking space software for Chennai operators

A Chennai shared office often runs two businesses under one roof: cabins and desks for people who come in, and virtual office plans for businesses that only need an address. Here is how to keep both in order, and where Coworking OS fits.

What a Chennai operator typically juggles

Most shared offices in Chennai sell private cabins on a monthly licence fee, dedicated and hot desks, and meeting rooms by the hour. Many also sell virtual office plans: a business uses your address for its GST registration, company records and post, usually on a yearly plan.

The two sides bill very differently. Cabins and desks are monthly, with deposits, notice periods and reminders every month. Virtual office plans are yearly, with KYC at the start, documents to issue, mail to handle and a renewal that is easy to forget. Keeping both in one spreadsheet is where things slip.

GST in Tamil Nadu: registration and place of supply

A space in Chennai is registered for GST in Tamil Nadu, and the GSTIN starts with the state code 33. For renting a cabin, desk or meeting room, the place of supply is where the property is. A member registered in Karnataka who rents a cabin in your Chennai space is supplied in Tamil Nadu.

  • Every invoice should show your legal name, your Tamil Nadu GSTIN, the SAC and the place of supply.
  • Virtual office plans are also taxable services. The SAC and place of supply for them may differ from cabin rent, so agree the treatment with your CA before you invoice your first plan.
  • Collect the member's GSTIN at sign-up so their first invoice is correct.

Agreements and stamp duty

Cabin members usually sign a leave-and-licence agreement covering the space, licence fee, deposit, lock-in and notice period. Virtual office clients sign an agreement that backs the address documents you issue, and authorities may ask to see it. Both kinds of agreement can attract stamp duty, and the rules depend on the state and change over time. Check Tamil Nadu's current stamp duty rules with your lawyer before you finalise your templates.

Virtual office: a short routine that protects you

Your address will appear on another business's registrations. A little care at the start saves trouble later:

  1. Collect KYC before you sign: identity and address proof of the directors or proprietor, and the business's documents.
  2. Sign a written agreement for the plan period, and keep it with the client's record.
  3. Issue the documents the plan includes only after payment.
  4. Log mail and courier that arrives for the client, and tell them the same day.
  5. Remind the client well before renewal. A lapsed plan is lost revenue and a compliance gap.

A monthly checklist for Chennai operators

  • Send cabin and desk invoices on one fixed day, with a payment link.
  • Remind on a fixed schedule on WhatsApp, before and on the due date.
  • Record payments the day they arrive and send receipts.
  • Check which virtual office plans renew in the next 30 to 45 days.
  • Check notice periods ending soon and start showing those cabins.
  • Export the month's invoices and receipts for your CA.

How Coworking OS fits

  • Rent by UPI. Pay Now links through Razorpay, Cashfree or Zoho Payments, a UPI QR on every invoice, and "I've paid" with the UTR into your confirm queue.
  • WhatsApp reminders and receipts from your own WhatsApp Business number, with replies in a WhatsApp inbox beside the member's record.
  • Invoices with your GSTIN and an invoice series per centre, carrying the SAC and place of supply.
  • Virtual office plans sit next to your cabins, with e-signed agreements, yearly invoices and renewal reminders. Parcels are logged with a photo at the front desk, and the member sees them in the app.
  • E-signed agreements drafted from your template and signed online from any device, so a virtual office client never needs to visit.
  • Room and desk bookings with a public booking page and free hours for members.
  • Centres for several buildings, each with its own invoice series and booking page.

Pricing

Starter is ₹1,999 a month for up to 30 active members and 1 centre, Growth ₹3,999 for 80 and 1 centre, Scale ₹7,999 for 200 and 2 centres, and Pro ₹13,999 for 400 and 3 centres, all plus GST. Every feature is in every plan. Try it free for 30 days with no card at app.coworkingos.in/signup.

If you also run or plan a centre in Bengaluru, see our Bengaluru page. A centre in another state usually needs its own GST registration there.

Can I sell virtual office plans without the client visiting?

Yes. Send the plan, collect KYC, e-sign the agreement on the phone and send the invoice with a payment link. Renewal reminders go out before the plan ends.

Do you have customers in Chennai?

Coworking OS is built and used in Hyderabad. Nothing in it is tied to one city, and everything on this page works the same in Chennai. Book a demo and test it on your own members.

How do I stop virtual office renewals slipping?

Keep each plan's end date on the client's record and send a reminder 30 to 45 days before it, with the renewal invoice and payment link. In Coworking OS the plan sits next to your cabins, so renewals appear in the same place as the rest of the month's billing.

Can I keep cabin and virtual office income separate in my books?

Yes. Income is reported by source, so cabins, desks, meeting rooms and other income show separately in the P&L.
