Offering virtual office services in India: a guide for operators

A virtual office sells your address to businesses that do not need a desk. It is low-cost to run and fills the gaps between cabins, provided the paperwork is clean and you know who your clients are.

Not legal or tax advice. GST, company registration and address rules are set by central and state authorities and change from time to time. Check the current rules on the official portals and with your CA before you sell a plan.

What clients actually buy

A virtual office client pays for the right to use your address, plus a few services around it. In practice they want one of these:

  • A GST registration address. A business selling into a state typically needs a place of business there to register for GST. Coworking addresses are widely used as an additional place of business for e-commerce sellers and service companies expanding into new states.
  • A registered office address for a company or LLP. Used on the Ministry of Corporate Affairs records and on letterheads, invoices and bank accounts.
  • A business address for mail and couriers. A professional address on the website and visiting card, with someone to receive post and parcels.
  • Occasional access. A few hours of meeting room or day-pass use each month, for client meetings or a visiting team.

Be clear which of these a plan includes. A client who buys a mailing address and then expects you to support a GST inspection will be a problem for both of you.

What the operator must provide

Registration applications are typically checked against documents that prove the business is allowed to use the address. The set most operators are asked for is:

  • A no-objection certificate (NOC) from you as the occupier or owner, stating that the client may use the address for the stated purpose.
  • An agreement between you and the client (a leave and licence or service agreement), signed and dated, with the term and the exact address.
  • Proof of the premises, usually a recent utility bill (electricity, water or property tax) in the name of the owner, plus your own rent agreement with the owner if you are a tenant.
  • Ownership link. If the building is owned by someone else, authorities may ask for the chain: owner to you, you to the client.

Formats and the exact set vary by state and by officer. Keep clean, dated templates, and keep a signed copy of each client's set on file. Many operators also put a nameplate for each virtual office client at reception, since some verifications check for one.

Pricing patterns

Virtual office plans are almost always sold per year, paid up front, because the registration they support lasts at least that long. A typical ladder in an Indian metro:

PlanWhat it includesTypical range
Mailing addressAddress use, mail and courier handling₹8,000 to ₹15,000 a year
GST registrationAddress plus NOC, agreement and utility bill, support during verification₹12,000 to ₹25,000 a year
Registered officeEverything above, for use on company records, with a nameplate₹15,000 to ₹30,000 a year

Prices depend on the city and the locality; a Hitec City address commands more than a suburb. Charge extra for meeting room hours beyond an allowance, for document re-issue, and for support with a physical verification visit. Renewals should be invoiced 30 days before expiry, with the agreement renewed at the same time so the documents on record never lapse.

Know your client

Your address will appear on another business's registrations and invoices. If that business turns out to be a shell or a fraud, officials will come to you first. Simple KYC before you sign protects you:

  1. Collect the PAN of the business and of the signatory, the signatory's Aadhaar or passport, and the company's incorporation certificate if it has one.
  2. Ask what the business does, and check the website or a marketplace listing. A one-line answer that does not match the paperwork is a warning sign.
  3. Verify the phone number and email by speaking to the person, not just by WhatsApp.
  4. Keep a register of every virtual office client with their documents, start and end dates, and the purposes you have given NOCs for.
  5. Refuse politely when something does not add up. One bad client can cost you far more than one year's fee.

Store these documents securely and share them only with the client and, when required, with the authorities. The Digital Personal Data Protection Act, 2023 sets expectations for how personal data is handled; keep collection to what you need and delete it when the relationship ends, subject to any record-keeping period your CA advises.

Compliance basics for operators

  • Your own paperwork first. Your rent agreement with the building owner should allow sub-licensing or the provision of business addresses. If it is silent, get written consent.
  • Issue GST invoices for the plan if you are registered, with the correct place of supply; your CA will confirm the treatment.
  • Keep NOCs specific. State the client name, the purpose (for example, GST registration as an additional place of business), the address, and the validity period. Never give an open-ended NOC.
  • Expect verification visits. Officers may visit to check that the business exists at the address. Have reception keep a list of current clients, their nameplates and a copy of each agreement.
  • End cleanly. When a client leaves or does not renew, withdraw the NOC in writing and ask them to update their registrations. Keep a record that you did so.

Running it without a desk

The whole product can be sold and delivered without a visit. A clear plan page on your website with the price and included documents, a short enquiry form, KYC collected by upload, an agreement e-signed on the phone, an invoice with a payment link, and a renewal reminder at day 335. Coworking OS handles that cycle as a virtual office plan next to your cabins, so renewals and documents do not live in someone's email. Whatever tool you use, the renewal reminder is the part that pays for itself: lapsed plans are lost revenue and a compliance gap.

A plan page checklist

  • Exact address with pin code, and a map.
  • Each plan with a yearly price in rupees, inclusive of or plus GST, stated clearly.
  • The documents each plan includes, with a sample of each.
  • Turnaround time to issue documents after payment, typically one to two working days.
  • What happens at renewal, and what is not included (such as acting as your registered agent for notices).
  • A WhatsApp number for questions.
