Coworking space software for Mumbai operators

In Mumbai, space is the expensive part, so every empty cabin and unbilled meeting hour costs more. Here is how to keep agreements, deposits, rent and rooms in order, and where Coworking OS fits.

What a Mumbai operator typically juggles

A Mumbai shared office usually sells private cabins on monthly licence fees, dedicated and hot desks, meeting rooms by the hour and often virtual office plans. With space at a premium, a few things matter more than elsewhere: filling a cabin quickly when someone leaves, billing every meeting room hour, and keeping deposits and notice periods exact so move-outs go smoothly.

Members are often small companies and professionals who expect a tidy invoice, a quick receipt and a clear answer on WhatsApp. The operator's job is to make sure none of those depend on someone's memory.

GST in Maharashtra: registration and place of supply

A Mumbai space is registered for GST in Maharashtra, with a GSTIN starting with the state code 27. For renting a cabin, desk or meeting room, the place of supply is where the property is, so your Mumbai space supplies in Maharashtra even when the member is registered in another state.

Registration is per state. If you also run a centre in Pune, both buildings are in Maharashtra, and the second is usually added to your existing registration as an additional place of business. Many operators keep a separate invoice series per building anyway. See our Pune page for that city's side.

General guidance, not tax advice. Confirm registration and how tax appears on your invoices with your chartered accountant. Our guide to GST on coworking rent explains what every invoice must carry.

Leave-and-licence agreements, stamp duty and registration

Leave-and-licence agreements are standard practice in Maharashtra, and most members will expect one. Stamp duty applies, and registration of leave-and-licence agreements is also commonly required in the state, with an online process available. Rules and charges change, so check Maharashtra's current stamp duty and registration rules before you finalise your template, and decide up front who bears the cost.

Whatever the paperwork route, the agreement should state clearly:

  • The cabin, the number of seats and the shared areas included.
  • The licence fee, the due date and any annual escalation.
  • The security deposit, what can be deducted and the refund timeline.
  • The lock-in, the notice period and how notice is given.
  • Free meeting room hours, if any, and the rate after them.

Deposits and notice periods

Deposits are where disputes start. Record each deposit against the cabin when it is paid, note any top-up when rent goes up, and keep the deduction rules in the agreement. When a member gives notice, start the move-out routine at once: confirm the last day, show the cabin to prospects, inspect before handover, and settle the final invoice against the deposit in writing. Our guide to security deposits covers this in detail.

Meeting rooms: bill every hour

In a city where floor space is costly, a meeting room is often the most valuable square footage you have per hour. Publish clear rates, give cabin members a set number of free hours each month, and charge the normal rate after them. Ask walk-ins to pay online when they book, with a published cancellation cut-off. Review use every month: a room that is full at peak times and empty otherwise may fill with a half-day or off-peak rate. Our meeting room utilisation guide goes further.

A checklist for Mumbai operators

  1. Use one agreement template for every member, checked by your lawyer.
  2. Record every deposit against the cabin, with the date and amount.
  3. Send invoices on one fixed day, with a payment link and your GSTIN.
  4. Remind on WhatsApp before and on the due date, from your business number.
  5. Bill every meeting room hour beyond members' free hours, and take payment upfront from walk-ins.
  6. Track notice periods weekly, and start showing cabins as soon as notice arrives.
  7. Settle the final invoice against the deposit in writing at move-out.

How Coworking OS fits

  • E-signed agreements. Proposals accepted on the phone, then a leave-and-licence agreement from your template, reviewed by the member and signed online. Deposits and notice periods are tracked against the cabin, with days left shown.
  • Rent by UPI. Pay Now links through Razorpay, Cashfree or Zoho Payments, a UPI QR on every invoice, and "I've paid" with the UTR into your confirm queue.
  • WhatsApp reminders from your own WhatsApp Business number, and billing autopilot for the monthly run once you switch it on.
  • Invoices with your GSTIN and an invoice series per centre, with the SAC and place of supply.
  • Room and desk bookings. Hourly, daily and pass pricing, free hours used first, paid online for walk-ins, and a QR poster for each room that shows today's free times.
  • Leads and proposals, so the next member for a vacating cabin is already in the pipeline.
  • Centres for several buildings, each with its own invoice series and booking page.

Does Coworking OS register my agreement for me?

No. It drafts the agreement from your template and collects signatures online. Stamping and registration follow your state's process, which you or your lawyer handle.

Can I track deposits and deductions?

Yes. Deposits are recorded and tracked on each member's record, next to the cabin, rent, agreement status and notice period, so the figures are in front of you when you settle a move-out.

Do you have customers in Mumbai?

Coworking OS is built and used in Hyderabad. It is not tied to a city, and everything here works the same in Mumbai. Book a demo and judge it on your own members and numbers.
