Excel or Google Sheets plus WhatsApp
Free and familiar. A sheet holds members, cabins and rents; reminders are typed on WhatsApp; payments are matched against the bank statement by hand. It works for a handful of members with one person who owns the routine. It breaks down when invoices need your GSTIN and a numbered series, when several staff need the same view, or when the person who knows the sheet is away.
Free invoicing tools such as Zoho Invoice
Good GST invoices at no cost, with payment links. What they don't know is your space: which cabin a member sits in, when their agreement ends, their deposit, their notice period, or how many meeting-room hours they have left. Bookings, leads and agreements still live elsewhere.
Open-source software
Open-source business suites such as Odoo have coworking add-ons, and you can host them yourself. The software may be free, but someone has to install, host, update and secure it, and adapt it to Indian billing. That usually means a developer or a paid partner.
A free trial of coworking software
Most coworking platforms offer a trial, from 7 to 30 days. Coworking OS has a 30-day free trial with every feature and no card, which you start yourself. It is enough to import your members and run one real month of invoices before deciding.
What the cheapest paid option costs
Coworking OS Starter is ₹1,999 a month plus GST for up to 30 members, with every feature: GSTIN invoices, UPI Pay Now links, WhatsApp reminders, deposits and notice periods, e-signed agreements, room bookings and a member app. For many spaces that is less than the hours a spreadsheet routine costs each month.
