Your company's team in the member app

Give your colleagues their own sign-in to the member app, choose what each one can see, and remove them in a tap when they leave.

Members

If your company has a cabin, your login is the head of the company in the member app. Instead of sharing your password, you can add your colleagues as a team. Each person gets their own sign-in and sees only what you switch on for them. Bills, the agreement and the deposit stay with you unless you decide otherwise.

Teams are for cabin companies. Desk and virtual office memberships have one sign-in each for now.

Add someone

  1. Open the member app and tap More → Team.
  2. Tap Add a person. Enter their name, email and, if you like, their mobile number. The email is what they sign in with.
  3. Choose what they may do using the switches (see below). You can change these any time.
  4. Tick the line confirming you have their permission to share their name, email and phone with the space. Save.
  5. They get an invite by email and, where the space uses WhatsApp, by WhatsApp. Sign-in codes go only to their own email or phone, never to yours.

A person signs in exactly as you do: their email, then a code or a password. See Your member app: sign in and install.

What each switch opens

These are on for a new person:

  • Wi-Fi: the network name and password on Home.
  • Door pass: their own door pass.
  • Add visitors: pre-register their own guests at reception.
  • Parcels: see and collect parcels left for the company. Reception logs parcels per company, so everyone with this switch sees the same list.
  • Requests and complaints: raise and follow their own.
  • Notices are always on for everyone.

These are off until you switch them on:

  • Book meeting rooms: book rooms using the company's free hours. You can set a monthly cap per person, for example 4 free hours a month; a booking past the cap is refused with the numbers shown. Paying online is still possible.
  • See and pay bills: the Pay tab: invoices, receipts, the deposit, Pay now, I've paid, credits, and Add to our bill when booking.
  • Get invoices and receipts: invoices, receipts and reminders by email and WhatsApp, in addition to the company contact the space has on record, who always gets them.
  • Documents: the agreement, certificates and statements.
  • See everyone's activity: all the company's bookings, requests, complaints and visitors, not only their own.
  • Manage the team: makes them a co-admin who can add and remove people. A co-admin can give only what they have themselves, never Manage the team, and cannot change you or another co-admin.
A team member's Home shows no money: no balance, rent, deposit or agreement. It shows the cabin, Wi-Fi if allowed, their next booking and free hours, parcels, guests, notices and open complaints.

Change or remove someone

  • Tap a person on the Team screen to change switches, set or clear a booking cap, Resend an invite that has not been used, or Make head to hand the company over to them. There is one head per company.
  • Remove ends their access at once, on every device: the app and the door pass, which then scans as access ended.
  • Their future bookings stay with the company. You can cancel any you do not want.
  • A person who leaves the company but was the contact on the space's record stays on it until the office updates it; ask the front desk.

Limits and good to know

  • Up to 50 people per company. If the space has a seat count for your cabin, the app warns when you go past it but does not stop you.
  • The same email cannot be in two companies in one space.
  • The space's staff can see your team on your record and can help with the same changes, for example resending an invite. Accountants at the space do not see teams.
  • Colleagues on an old version of the phone app see Please update instead of the team Home. Ask them to update from the store, or use the web app at your space's address, which always works.

Before you add people

  • Decide who should see money. Most teams need nobody but the head on bills; give Get invoices and receipts only to the person who pays them.
  • Decide whether rooms are open to all. Free hours are the company's, so a cap per person keeps one keen booker from using the month's hours in a week.
  • Use work emails where you can. A colleague who signs in with a personal Gmail can still link it afterwards.
  • You can start with one person and add the rest later. Nothing is fixed.

A worked example

Priya heads Acme in Cabin 7. She adds Ravi with the defaults, so he gets Wi-Fi, the door pass, visitors, parcels and requests, but no bills. She adds Meera with Book meeting rooms on and a cap of 2 hours a month, and with Get invoices and receipts, because Meera does the accounts. Ravi leaves in March; Priya taps Remove and his pass stops working that minute. Nothing else changes.
