Signing in to Coworking OS (staff and members)

One sign-in screen for everyone, on the web and in the apps. What Google and Apple do, what they never do, and where staff and members part ways.

Staff

Staff and members use the same sign-in screen. It is the same on app.coworkingos.in, on your space's own address such as sunrise.coworkingos.in, and in the iPhone and Android apps. What you see after it depends on who you are in the space's lists, not on how you proved your email.

The first screen

  • The title is Sign in to <Space> with the line Use the email address <Space> has for you. On app.coworkingos.in, where no space is named yet, it asks for your email first.
  • Continue with Google and Sign in with Apple sit at the top. Apple appears in the iPhone app; Google on Android and on the web.
  • Below them, your email and Continue.

The second screen: Welcome back

  • Password: for staff always, and for members who have set one.
  • Email me a sign-in code: a 6-digit code to your email, or to your sign-in phone by WhatsApp when the space sends codes that way. The small print says Codes are for members. Staff sign in with their password.
  • Staff with two-step sign-in are asked for their second step next; see Two-step sign-in.

Where do you want to go?

If one email opens several places, for example you are an owner of one space and a member of another, the app shows Where do you want to go? with each place and your role in it: Owner, Staff, Accountant or Member. If your email opens one place only, you go straight in.

What Google and Apple do, and do not do

Google and Apple are shortcuts. They prove that you own an email address, faster than typing a code. That is all.

  • They never create an account. If nobody has invited your email to any space, you see isn't linked to any space yet and nothing is created.
  • They never set a role. Your role comes from the space's lists: the team list for staff, the member lists for members. A code, Google or Apple can only ever open a member session.
  • Staff cannot use Google or Apple yet. Staff screens need a password, and two-step where it is on. Account & security says so under Sign-in methods.
  • A member can see what is linked under Account → Sign-in methods in the member app, and link or unlink Google there. Linking asks for a fresh code first.

When the Google email is not the invited one

Many people have a Gmail that is different from the work email the space invited. The app handles it once, then remembers.

  1. You tap Continue with Google and sign in as, say, kiran.b@gmail.com, but the space invited kiran@acme.in.
  2. The screen says This Google account (kiran.b@gmail.com) isn't linked to <Space> yet. Sign in once with the email <Space> invited, and we'll link it so next time it's one tap.
  3. You enter kiran@acme.in and the code that arrives there.
  4. You are signed in, and the Google account is linked. From the next time, Google is one tap, even if the Gmail address later changes.

Apple's Hide My Email works the same way: Apple gives the app a relay address that can never match an invite, so you sign in once with the invited email or phone and the Apple ID is linked for next time. A Google account made on a non-Google address, such as a Yahoo email, also goes through the one-time link, because Google cannot vouch for that address but a code can.

Staff: what to expect

  • Use your email and password. Google and Apple buttons are shown because the screen is shared, but they do not open staff screens.
  • Two-step sign-in, when switched on for you, asks for the code from your authenticator app after the password.
  • Forgot your password? Forgot password on the Welcome back screen sends a reset link to your email.
  • You are added by the owner from Settings; see Invite your team. There is no self sign-up for staff.

Members: what to expect

  • Use the email the space has for you. Not sure which? Ask the front desk; it is on your record.
  • Codes by WhatsApp or email, Google or Apple, or a password if you set one. All open the same member app.
  • The limits on codes, devices and sessions are in How members sign in.

Quick reference

  • Owner, staff or accountant: email → password → two-step if on. Google and Apple: not yet.
  • Member with a password: email → password. Or a code, or Google or Apple, whichever is quicker.
  • Member without a password: email → Email me a sign-in code, or the WhatsApp code, or Google or Apple.
  • Same email in two places: Where do you want to go? after the email is proven.
  • Different Gmail from the invited email: one-time link with a code to the invited email, then one tap.
The old separate pages, a staff login with a small member link and a member page with a staff link, are gone. Everyone starts on the same screen and the app sorts out the rest.
